Refund & Cancellation Policy

1. Overview
AARIVON is committed to delivering exceptional AI education and training. We understand that circumstances may change, and we have designed this Refund & Cancellation Policy to be fair, transparent, and aligned with industry best practices. This policy applies to all paid courses, bootcamps, and training programs offered by AARIVON EdTech Private Limited.
We offer a risk-free trial period and structured refund options to ensure you can make an informed decision about your learning investment. Please read this policy carefully before enrolling, as your payment constitutes acceptance of these terms.
Key Principle: Refund eligibility is determined based on the amount of course content consumed and the time elapsed since batch commencement, not merely the calendar date of the request.
2. Full Refund (100%)
You are eligible for a 100% refund of the course fee (excluding non-refundable items listed in Section 8) if you meet the following conditions:
- Time Window: Your refund request is submitted within 7 calendar days from the official batch start date
- Attendance Limit: You have attended no more than 2 live sessions or accessed no more than 15% of the total course content, whichever is lower
- Assignment Submissions: You have not submitted any graded assignments or projects for evaluation
- Live Project Work: You have not commenced any capstone or live industry project
Processing: Full refunds are processed within 14 business days from the date of approval. The refund will be credited to the original payment method used at the time of enrolment.
2.1 Cooling-Off Period Exception
If you enrol but do not attend any sessions and do not access any course material within the first 7 days of batch commencement, you are automatically eligible for a full refund upon written request, regardless of any other conditions.
3. Partial Refund (50%)
A partial refund of 50% of the course fee (excluding non-refundable items) may be granted under the following conditions:
- Time Window: Your refund request is submitted after the 7-day full refund window but before the completion of Week 2 of the program (14 calendar days from batch start)
- Content Access: You have accessed between 15% and 40% of the total course content
- Attendance: You have attended no more than 6 live sessions
- Project Status: You have not completed any capstone project milestones or submitted final project work
Calculation: The 50% refund is calculated on the total course fee paid minus non-refundable items. If you have availed any discounts or scholarships, the refund percentage applies to the net amount paid.
3.1 Deferred Batch Transfer (Alternative to Partial Refund)
Instead of a 50% refund, you may choose to transfer your enrolment to a future batch (within 6 months) with no additional charge. This option can be exercised once per enrolment. The original course fee and any discounts will be preserved for the deferred batch.
4. No Refund
No refund will be granted in the following circumstances:
- After Week 2: Refund requests submitted after the completion of 14 calendar days from the batch start date
- High Content Consumption: You have accessed more than 40% of the course content
- Project Completion: You have completed and submitted capstone project work or major assignments
- Placement Services Activated: Your profile has been shared with hiring partners or you have received interview opportunities through our placement team
- Certificate Earned: You have already received a course completion certificate
- Disciplinary Termination: Your enrolment was terminated due to violation of the Code of Conduct or academic integrity policies
- EMI Default: Refund claims arising from failure to maintain EMI payments with our financing partners
We encourage students facing difficulties to reach out to our student success team for support options before requesting a refund. We offer counselling, additional mentoring, and flexible learning arrangements wherever possible.
5. EMI/Installment Cancellation
For students who have opted for EMI or instalment payment plans:
5.1 Cancellation Within 7 Days
If you cancel within the 7-day full refund window, all future EMI instalments will be cancelled, and any instalments already deducted will be refunded in full within 14 business days. We will coordinate with our EMI partner to process the cancellation.
5.2 Cancellation Between 8-14 Days
If you are eligible for a 50% partial refund, we will cancel all future EMI instalments. Instalments already paid will be adjusted against the 50% refund calculation. Any excess amount will be refunded; any shortfall must be settled before cancellation is finalised.
5.3 EMI Partner Coordination
EMI cancellations require coordination with our financing partners (Razorpay, LiquiLoans, or similar). The actual cancellation of future instalments may take 7-21 business days depending on the partner's billing cycle. AARIVON is not responsible for EMI partner processing delays but will actively coordinate to expedite the process.
5.4 Impact on Credit Score
Approved EMI cancellations processed in accordance with this policy will not negatively impact your credit score. However, if you default on EMI payments before requesting cancellation, the default may be reported to credit bureaus as per RBI guidelines.
6. Special Circumstances
We understand that unforeseen events can disrupt your learning journey. We evaluate special circumstance refund requests on a case-by-case basis with compassion and fairness.
6.1 Medical Emergency
If you or an immediate family member experiences a serious medical emergency that prevents you from continuing the course, you may request a refund beyond the standard window. Required documentation includes:
- Medical certificate from a registered medical practitioner or hospital
- Discharge summary or treatment records (for hospitalisation exceeding 7 days)
- Written explanation of how the medical condition impacts course participation
Approved medical emergency refunds are processed at 75% of the course fee if the request is made before Week 4, or 50% if made before Week 6. No refund is available after Week 6 except under extraordinary circumstances approved by management.
6.2 Verified Hardship
We consider refund requests based on verified financial hardship, including:
- Sudden loss of employment of the primary breadwinner
- Natural disasters affecting your place of residence
- Death of an immediate family member
- Other documented circumstances beyond your control
Hardship refund requests must be submitted in writing with supporting documentation to support@aarivon.in. Our Student Welfare Committee reviews such requests within 7 business days.
6.3 Batch Cancellation by AARIVON
In the rare event that AARIVON cancels a batch due to insufficient enrolment, instructor unavailability, or operational reasons, all enrolled students will receive a 100% refund within 10 business days. Alternatively, students may transfer to another batch at no additional cost with a complimentary course extension.
6.4 Course Material Quality Issues
If you experience persistent technical issues or believe the course content materially differs from what was advertised, you must report the issue to our support team within the first 14 days. We will investigate and may offer a refund, content replacement, or batch transfer at our discretion.
7. Refund Process
7.1 How to Request a Refund
To initiate a refund request, follow these steps:
- Log in to your AARIVON account and navigate to "My Enrolments"
- Click on "Request Refund" for the relevant course
- Complete the refund request form with the reason for cancellation
- Attach any supporting documentation (for special circumstances)
- Submit the request for review
Alternatively, you may email your refund request to refunds@aarivon.in with your registered email address, course name, and reason for cancellation.
7.2 Refund Review Timeline
- Standard Requests: Reviewed within 3-5 business days
- Special Circumstances: Reviewed within 7-10 business days
- Complex Cases: May require up to 15 business days for review
7.3 Refund Disbursement
Once approved:
- Credit/Debit Card: Refund credited to the original card within 14 business days (actual credit time depends on your bank, typically 5-10 business days)
- UPI/Net Banking: Refund credited to the original account within 14 business days
- EMI/Financing: Refund processed through the financing partner within 21 business days
- Bank Transfer: For exceptional cases, refund processed via NEFT/IMPS within 14 business days
7.4 Refund Status Tracking
You can track the status of your refund request through your AARIVON dashboard. Our support team will also send email updates at each stage: Request Received, Under Review, Approved/Rejected, and Processed.
8. Non-Refundable Items
The following fees and charges are non-refundable under all circumstances:
- Registration Fee: A one-time non-refundable registration fee of INR 2,500 (or as applicable at the time of enrolment)
- Physical Course Materials: Printed textbooks, study guides, or physical merchandise that have been dispatched
- Certification Exam Fees: Fees paid for external certification exams (e.g., cloud provider certifications) that have been scheduled or attempted
- Third-Party Tool Subscriptions: Pro-rated costs of third-party software licenses or cloud credits that have been provisioned in your name
- Late Payment Charges: Any penalties or late fees incurred on EMI payments
- Currency Conversion Fees: Any bank charges or foreign exchange fees for international payments
- GST Component: Goods and Services Tax collected is remitted to the government and is not refundable. The refund percentage applies to the course fee excluding GST.
